Available to: Landlords and their Accountants

Handling landlord accounting queries can be an extremely time consuming experience for the agent and a very frustrating experience for the landlord. Often the landlord's main contact at the agency does not have immediate access to accounting data therefore the whole process can be time consuming and expensive.

With Aspasia, landlords can get immediate live accounting information related to their properties in the form of Internet based statements from any location in the world. The moment rent is received and entered into the system by the agent, information about such payment is immediately available to the landlord wherever he may reside in the world

Statements, which contain the company logo, are also available to the landlord's accountant on-line if authority has been granted by the customer.  Not only does this make life easier for the landlord it also considerably improves the efficiency and effectiveness of the accountant.

Historical copies of statements previously issued are also available to the landlord and accountant via the Internet. If hard copy printouts are required these can be taken locally.

How does it work in practice?

Statements can be printed in a traditional fashion and sent by post or can be made available for viewing and/or printing on-line.  Although it is wasteful it is even possible to do both.

By default, landlords with an e-mail address and who are registered as being users of the login facility will automatically be e-mailed when a statement is produced by the system.  The e-mail will, in addition to advising them a new statement has been produced, contain a link to the customer login facility where the statement can be securely viewed and/or printed on-line by the landlord or his/her accountant. 

This avoids the possibility of sensitive information being included in the body of an e-mail where it is less secure.  The landlord and his/her accountant can obviously take copies of statements at any time without needing to contact the agency. 

By default the only statements that need to be physically printed by the agency and mailed are those that do not qualify for this process where the landlord either doesn't have an e-mail address or has specifically requested that he or she wishes to receive paper based statements.
